User Management: Users — Custom User Data Fields

Overview

The Betterworks application has many default user data fields. When populated, much of that user data can be leveraged by reports or groups. Adding custom user data fields can bolster these capabilities. 

Example: 

Jane’s organization has a large Finance department. Within that department are dozens of employees with CFP certifications and CPA licenses. For compliance purposes, Jane needs to keep track of which employees have these and when they expire. Jane can create custom user data fields to address this need.

Create Custom User Data Fields

Note: Only Super Admins can create custom fields. 

  1. Access the Users page.

    • Go to the Admin module. 
    • Select the User Management tab.

  2. Select Users (under the Department and users header).

  3. Select the Custom Fields tab.

  4. Enter the field’s display name under Custom Field Label.

  5. Enter the field key (aka column header) under Custom Field Key.

  6. Click Save

 

 

Populating Or Editing Data

Individual Update

You cannot populate or edit data in a custom user data field on the Users page (Individual update tab). Those fields are not accessible from there.  

 

CSV Upload

  1. Use the template below. Please read the related explainer thoroughly before using the template.

  2. Add the custom field keys at the end of the template.



  1. Fill out the template.

  2. Save the completed file.

  3. Access the Users page.

    • Go to the Admin module.
    • Select the User Management tab.
    • Select Users (under the Department and users header).

  4. Select the CSV upload tab. 




  1. Upload the completed file.

  2. Click Save

Note: If you encounter any error messages, refer to our error resource for guidance.

HRIS Integration

  1. Use the template below. Please read the related explainer thoroughly before using the template.
     
  2. Add the custom field keys at the end of the template.



  1. Fill out the template. 

  2. Save the completed file.

  3. Update the field mapping in your HRIS.  

BambooHR, TriNet Zenefits, or UKG Pro Integrations

  1. Update the field mapping in your HRIS. 

Delete Custom User Data Fields

Note: Custom fields that are used as attributes in groups (even deactivated groups) cannot be deleted until they are removed from those groups.

  1. Access the Users page.

    • Go to the Admin module. 
    • Select the User Management tab.

  2. Select Users (under the Department and users header).

  3. Select the Custom Fields tab.

  4. Hover over the field.

  5. Click the trash can icon.

  6. Click Delete when prompted.
