Bulk uploading users and departments with a CSV

What you will need:

  • BetterWorks admin rights.
  • Spreadsheet software such as Microsoft Excel or Google Sheets.
  • A text editor such as TextEdit (Mac) or Notepad (PC).
  • CSV templates download at the bottom of this article.
 
     

 

 Create Department CSV File

1) Create a CSV file with 3 columns: "name", "type", and "parent"

2) Ensure any "parent" entries have "departments"

3) Save CSV file and open it in a text editor

4) Inspect for superfluous commas (for example: ",,,,,")

5) Remove superfluous commas from CSV file

6) Save CSV file

 

Upload Department CSV File 

1) Login as an Admin

2) Navigate to Admin > Department and User CSVs

3) Upload Department CSV file

4) Save

5) Refresh page

  

Create Users CSV File

1) Note required columns for the Users CSV file

2) Ensure your CSV contains the required columns from the previous table. Do not add values in the deactivation_date column.

 

3) Save CSV file and open it in a text editor

4) Inspect for superfluous commas (for example: ",,,,,")

5) Remove superfluous commas from CSV file

6) Save CSV file

 

Upload User CSV File

1) Login as an Admin

2) Navigate to Admin > Department and User CSV

3) Upload User CSV file

4) Save

 

     
 

Problems?

  1. Check if there are superfluous commas in the CSV file. Determine this by opening the file in a text editor such as TextEdit (Mac) or Notepad (PC).
  2. Ensure there are no inputs in the "deactivated" field.
  3. If you need to remove a manager completely (for example, a new CEO being promoted from a position beneath the old CEO), re-upload the file with that employee's manager field empty.
  4. If you have input parents, do they exactly match a department? Example
